# How to enroll a new User in OPTOVERA

## Continue successful tests to build the baseline before conclusive results become available.

### Purpose

This article explains how to enroll a new User in OPTOVERA and make sure the User is available on the Devices before testing begins.

Enrollment allows each Scan to be associated with the correct User record and ensures that the User’s baseline can be created correctly.

This article is intended for administrators, supervisors, and authorized personnel responsible for adding Users and preparing Devices for daily use.

### Overview

User enrollment includes five main steps:

1. Add the User in the OPTOVERA dashboard.
2. Confirm that the User is enabled and assigned to the correct group.
3. Synchronize the Devices so the updated user list is available.
4. Verify the User in USERS LIST.
5. Complete the User’s first Scan, during which the User chooses an association method.

### Step 1: Add the User in the dashboard

An authorized administrator adds the new User through the Users section of the OPTOVERA online dashboard.

The administrator enters the Platform ID, the identifier assigned by the Customer, and a mnemonic username. OPTOVERA does not require the User’s real name or other direct identifiers, so the organization does not need to enter unnecessary personal information. The administrator does not enter a PIN.

Users can be added individually. A bulk upload is also possible using a prepared Excel file, which can be useful when enrolling many Users at the same time.

### Step 2: Confirm that the User is enabled and assigned correctly

Before saving or completing the User setup, the administrator should confirm that:

- The User information is correct.
- The User is assigned to the correct group, when applicable.
- The User status is enabled.
- The username is clear enough for the User to recognize and select it on the Device.

This is important because the User must appear correctly in the dashboard and on the Devices before the first Scan.

### Step 3: Synchronize the Devices

After the User is added or updated in the dashboard, the Devices must have the current user list before testing begins.

If the Devices are connected to the internet, synchronization can occur automatically. Synchronization can also be started manually by pressing UPDATE USERS LIST on each Device.

This step is especially important:

- At the beginning of a shift.
- After new Users have been added.
- After User information has been changed.
- When a User does not appear on a Device.
- When multiple Devices are used at the same site.

### Step 4: Verify the User in USERS LIST

Before starting the first test, supervisors can confirm that the User is available on the Device.

To do this, open the Device menu and check USERS LIST. This view shows the enrolled usernames currently available on that Device.

If the User does not appear in USERS LIST:

1. Confirm that the User has been added and enabled in the dashboard.
2. Confirm that the Device is connected to the internet.
3. Press UPDATE USERS LIST on the Device.
4. Open USERS LIST again and confirm that the username appears.

The first test should not be started until the User appears in USERS LIST.

### Step 5: Complete the first Scan

At the first Scan, the User selects their username on the Device and chooses an association method:

- PIN: the User sets their own six-digit PIN on the Device.
- Optional iris recognition: the User selects Use Iris Recognition.

The User makes this choice freely. Supervisors should explain that both options exist and are equivalent, and should not suggest, recommend, or require either one. The User can change method later through the route defined by the organization, without losing baseline progress.

The User then taps Check and completes the Scan. A successful first Scan contributes to baseline acquisition.

What happens after enrollment?

After the first successful Scan, the User continues taking tests to build the individual baseline.

During baseline acquisition, OPTOVERA is in learning mode. The User receives confirmation when a baseline measurement is successful, but OPTOVERA does not provide conclusive Scan results until the baseline is complete.

A complete baseline requires at least 10 successful measurements. Once the baseline is complete, future Scans are compared with that User’s own baseline and the result is Within Baseline Range or Alteration Detected.

### Common enrollment issues

A User may not be available for testing if:

- The User was not added to the dashboard.
- The User status is not enabled.
- The User was assigned incorrectly or incompletely.
- The Device has not synchronized after the User was added.
- The User does not appear in USERS LIST on the Device.
- The User selects the wrong username.

If tests are recorded under the wrong username, or if recognition issues continue for a User who chose iris recognition, contact OPTOVERA support.

### Key reminders

- Add the User in the dashboard before testing, using the Platform ID and a mnemonic username.
- Confirm that the User is enabled.
- Assign the correct group when applicable.
- Press UPDATE USERS LIST on the Devices when needed.
- Verify the User in USERS LIST before the first Scan.
- Let the User choose PIN or iris recognition freely at the first Scan.
- Never set, ask for, or record a User’s PIN.
