# How supervisors can help Users complete baseline acquisition

### Purpose

This article explains how supervisors can help Users complete baseline acquisition correctly and efficiently.

Baseline acquisition depends on repeated successful measurements. Supervisors can help by making sure Users understand the test technique, Devices are synchronized, usernames are available in USERS LIST, and baseline progress is monitored in the dashboard.

### Why supervisor support matters

During baseline acquisition, OPTOVERA is in learning mode. Successful measurements are used to build the User’s individual pupillary reference profile. Until the baseline is complete, OPTOVERA does not provide conclusive Scan results.

Good supervision helps reduce failed measurements, incorrect User association, synchronization problems, and delays in baseline completion.

### 1. Train Users before their first Scan

Before Users begin baseline acquisition, supervisors should explain what the test requires and what the User should expect.

Users should understand that:

- They will select their own username on the Device before each Scan.
- At the first Scan, they will choose between PIN and iris recognition, and both options are equivalent.
- If they choose PIN, they set it themselves and nobody else can see it.
- The Device will guide them with visual and voice instructions.
- They must keep their eyes closed during the countdown.
- They must open their eyes wide when instructed.
- They must look straight ahead during the 4-second video capture.
- They should avoid blinking or moving their eyes from side to side.
- They should remain calm and comfortable.
- They should not rush the Scan.

When explaining the two options, supervisors should describe them neutrally and should not suggest, recommend, or require either one.

It is helpful to explain that the baseline phase is a learning phase for both the system and the User. As Users repeat the test, they usually become more comfortable with the correct technique.

### 2. Reinforce the correct eye technique

Correct eye technique is one of the most important factors in successful baseline acquisition.

During the 4-second video capture, the User should:

- Keep the eyes fully open.
- Look straight ahead.
- Avoid blinking.
- Avoid moving the eyes from side to side.
- Keep the Device properly positioned.
- Remain still until the capture is complete.

Poor technique can cause the measurement to fail. Common issues include blinking, closing the eyes, keeping the eyes only partially open, looking to the side, moving the eyes, or moving the Device before the Scan is complete.

If the test fails, the User should repeat it using the correct technique.

### 3. Make sure Users are enrolled and enabled

Before testing, supervisors should confirm that each User has been added to the OPTOVERA dashboard and that the User status is enabled.

The organization uses a Platform ID and a mnemonic username. OPTOVERA does not require unnecessary personal information to complete enrollment.

If a User was recently added or updated, supervisors should confirm that the updated user list is available on the Devices before testing begins.

### 4. Keep Devices synchronized

Devices must have the current user list so each User can select their username and, if they chose PIN, have it verified.

If the Devices are connected to the internet, synchronization can occur automatically. Supervisors can also start synchronization manually by pressing UPDATE USERS LIST on each Device.

Supervisors should synchronize Devices:

- At the beginning of a shift.
- After new Users are added.
- After User information is changed.
- After a PIN reset.
- Before testing Users who were recently enrolled.
- When a username does not appear on a Device.
- When multiple Devices are used at the same site.

### 5. Check USERS LIST before testing

Before a User begins testing, supervisors can verify that the username appears on the Device.

To do this, open the Device menu and check USERS LIST. This view shows the enrolled usernames currently available on that Device.

If the username does not appear:

1. Confirm that the User has been added and enabled in the dashboard.
2. Confirm that the Device is connected to the internet.
3. Press UPDATE USERS LIST.
4. Open USERS LIST again and confirm that the username appears.

The test should not be started until the correct username is available on the Device.

### 6. Monitor baseline timing

A complete baseline requires at least 10 successful measurements.

The first 2 baseline measurements can be taken immediately one after the other. After those first 2 measurements, each additional baseline measurement must be separated by at least 8 hours.

If a baseline measurement is taken too soon, it is not registered and does not count toward baseline completion. When this happens, the Device displays an alert to inform the User.

Supervisors can help avoid delays by reminding Users when their next baseline measurement can be taken and by making sure testing is performed across normal working shifts.

### 7. Monitor baseline progress in the dashboard

Administrators and supervisors with appropriate access can monitor baseline progress in the OPTOVERA dashboard.

Useful dashboard information includes:

- Baseline percentage.
- Number of successful baseline measurements.
- Last test information.
- User result summaries.
- Baseline-related reports.

Supervisors should use these views to identify Users who are not progressing as expected. A User may need additional support if their baseline progress remains low, if repeated tests fail, or if the User is not testing regularly enough. The User’s association method is not a factor in this review.

### 8. Reduce delays caused by failed measurements

Failed measurements can delay baseline completion. Supervisors can reduce delays by checking the most common causes.

Common causes include:

- The User blinks during the 4-second video capture.
- The User closes the eyes during the capture.
- The eyes are only partially open.
- The User looks to the side.
- The User moves the eyes from side to side.
- The Device is moved or removed before the Scan is complete.
- The username does not appear in USERS LIST.
- The Device has not synchronized.
- The User attempts another baseline measurement before the required time interval.

When a measurement fails, supervisors should correct the issue and have the User repeat the test when appropriate.

### 9. Support Users who are not recognized or have forgotten a PIN

For a User who chose iris recognition and is not recognized, follow Article 4.

For a User who has forgotten their PIN, ask an administrator to clear it, synchronize the Device, and let the User set a new PIN on the Device at the next assessment. The baseline is not affected.

### Key reminders for supervisors

- Train Users before they begin baseline acquisition, including a neutral explanation of the two association methods.
- Reinforce correct eye technique.
- Keep Devices synchronized.
- Press UPDATE USERS LIST when needed, including after a PIN reset.
- Check USERS LIST before testing.
- Monitor baseline progress in the dashboard.
- Remember that at least 10 successful measurements are required.
- Remember that after the first 2 baseline measurements, additional baseline measurements must be separated by at least 8 hours.
- Correct failed measurements early so baseline completion is not delayed.
- Contact OPTOVERA support if recognition, synchronization, or repeated measurement problems cannot be resolved.
